Organising – Building the Corporate Machine! 🏗️

Imagine: You have 11 players on a cricket field.

  • Scenario A: Everyone runs after the ball. No positions. Chaos.
  • Scenario B: One Wicketkeeper, Two Opening Bowlers, Slips, Mid-off. Everyone knows their job.

Scenario A is a Mob. Scenario B is an Organization.

Organising is the process of defining and grouping activities and establishing authority relationships. It turns a PLAN into ACTION.

The Process of Organising (4 Steps) 🪜

Let's organize a College Cultural Fest to understand this! 🎉

Step 1: Identification and Division of Work 🔍

What: List ALL the work that needs to be done.

  • Fest Example:
    • "We need to book a hall."
    • "We need to invite guests."
    • "We need to buy snacks."
    • "We need to sell tickets."
    • "We need to arrange speakers."
  • Action: Divide this huge list into small manageable tasks.

Step 2: Departmentalization (Grouping) 📦

What: Group similar tasks together.

  • Fest Example:
    • Decoration Team: (Posters, Stage, Lights)
    • Food Team: (Snacks, Drinks, Lunch)
    • Finance Team: (Tickets, Sponsorship, Budget)
    • Event Team: (Invites, Anchoring, Schedule)
  • Corporate Example: HR Dept, Marketing Dept, Finance Dept.

Step 3: Assignment of Duties 📝

What: Give the work to the right people.

  • Fest Example:
    • "Rahul, you are good with money. You head the Finance Team."
    • "Priya, you are artistic. You head the Decoration Team."
  • Principle: Put the right person in the right job.

Step 4: Establishing Reporting Relationships 🗣️

What: Who reports to whom? Who is the Boss?

  • Fest Example:
    • "Rahul and Priya report to the Fest Coordinator (You)."
    • "Volunteers report to Rahul and Priya."
  • Result: A clear hierarchy. No confusion about who gives orders.

Importance of Organising (Why do we need it?) 🌟

1. Benefits of Specialization 👨‍⚕️

  • When a worker does the same job (e.g., "Fitting tyres") repeatedly, they become an expert.
  • Result: Speed and Perfection.

2. Clarity in Working Relationships 🤝

  • Everyone knows "Who is my boss?" and "Who can I order?"
  • Result: No conflicts or confusion.

3. Optimum Utilization of Resources ♻️

  • No duplication of work.
  • Example: Without organizing, two teams might buy snacks separately! Organizing prevents this waste.

4. Adaptation to Change 🔄

  • A good structure allows the company to change.
  • Example: If "Digital Marketing" becomes important, you can easily create a new "Digital Dept" without disturbing the "Sales Dept".

5. Effective Administration 🏛️

  • With clear job descriptions, management becomes easy. The CEO doesn't have to micromanage.

Real Life Example: The Dabbawalas of Mumbai 🍱

They are the Masters of Organizing.

  1. Division of Work:
    • Collector (Picks up tiffin).
    • Sorter (Sorts by destination at station).
    • Carrier (Takes it on train).
    • Deliverer (Delivers to office).
  2. Departmentalization: Grouped by Area (Andheri Group, Dadar Group, Churchgate Group).
  3. Assignment: Each Dabbawala has a specific route.
  4. Reporting: Mukadams (Supervisors) check on groups.

Result: Six Sigma certification! (Less than 1 error in 6 million deliveries). That's the power of ORGANISING!

💡 Final Wisdom: "Organising is like cleaning your room. You put clothes in the wardrobe, books on the shelf, and trash in the bin. Suddenly, you can find everything! A company without structure is just a messy room." 🧹👕📚
