Functions of Management – The Manager's Swiss Army Knife! 🔧

Ever wondered: What does a manager actually DO from 9 AM to 6 PM?

Coffee breaks? Some! ☕
Meetings? Lots! 🪑
But the REAL work? These 5 core functions! 👇

The POLC Framework (Simple & Popular!) 🎯

P - PLANNING

O - ORGANISING

L - LEADING

C - CONTROLLING

Remember: P.O.L.C = "Police" your organization! 👮

Let's break each down with Zomato's story!

1. PLANNING – Deciding WHAT to Do 🗺️

Definition: Deciding in advance what to do, how to do it, when to do it, and who will do it.

Zomato Example (2015 - Pre-Delivery Days):

Problem: Restaurant discovery is great, but growth slowing!

Planning Session:

  • WHAT: Enter food delivery business
  • HOW: Build delivery fleet, partner with restaurants
  • WHEN: Launch in 6 months (by Dec 2015)
  • WHO: Dedicated delivery operations team
  • WHERE: Start with Delhi, Mumbai, Bangalore

Result: Zomato became India's #1 food delivery app! 🍕

Planning involves:

  1. Setting objectives → We want 1 million deliveries/month!
  2. Forecasting → Market research shows 50 lakh potential customers!
  3. Developing strategies → Undercut Swiggy's pricing!
  4. Formulating budgets → Allocate ₹500 crores for expansion!

Planning = GPS for the organization! Without it, you're driving blind! 🚗

2. ORGANISING – Building the Structure 🏗️

Definition: Arranging resources and activities to achieve objectives.

Continuing Zomato Example (2015):

After planning delivery, now ORGANIZE resources:

Step 1: Divide Work

  • Team A: Technology (app development)
  • Team B: Delivery fleet (hiring riders)
  • Team C: Restaurant partnerships
  • Team D: Marketing

Step 2: Group Activities

  • North Zone (Delhi, Punjab, UP)
  • South Zone (Bangalore, Chennai, Hyderabad)
  • West Zone (Mumbai, Pune)

Step 3: Assign Authority

  • Mohit (VP Operations) → Oversees delivery
  • Deepinder (CEO) → Final decisions

Step 4: Provide Resources

  • ₹200 crores for tech
  • ₹150 crores for marketing
  • 10,000 delivery riders hired

Organizing = Building your army! Soldiers, weapons, strategy - all arranged! ⚔️

3. LEADING – Make People Work! 💪

Definition: Guiding, motivating, and directing people to achieve goals.

Zomato Example (2020 - COVID Crisis):

Challenge: Lockdown! Restaurants closed! Revenue dropped 80%! 😱

Deepinder Goyal's Leadership:

Communication:

"Friends, tough times. But we'll survive TOGETHER. Zero layoffs, I promise!"

Motivation:

  • Cut his own salary to ZERO!
  • Ensured riders got insurance
  • Launched "contactless delivery"

Direction:

  • Pivoted to grocery delivery (daily essentials!)
  • Launched Zomato Pro membership
  • Helped restaurants with cloud kitchens

Result: Team stayed motivated, company survived, emerged stronger! 💪

Leading = Being the Captain! Your team looks to YOU in storms! 🌊

4. CONTROLLING – Are We On Track? 📊

Definition: Measuring performance, comparing with standards, and taking corrective action.

Zomato Example (Continuous):

Dashboard metrics (checked DAILY!):

  • ⏱️ Delivery time: Target 30 mins, Actual 35 mins? ❌ Fix it!
  • Customer rating: Target 4.5, Actual 4.2? ❌ Improve!
  • 📦 Orders/day: Target 50 lakhs, Actual 45 lakhs? ❌ Marketing push!
  • 💰 Burn rate: Budget ₹100cr/month, Actual ₹120cr? ❌ Cut costs!

Control Process:

  1. Set standards (30-min delivery)
  2. Measure actual (Check GPS data)
  3. Compare (35 mins vs 30 mins = 5 mins delay!)
  4. Correct (Hire more riders in busy zones!)

Controlling = Co-pilot checking instruments! "Captain, we're off course!" 🧭

The Complete Cycle (How Functions Connect)

PLANNING → "Let's launch grocery delivery in 6 months!"
    ↓
ORGANISING → Hire 5,000 riders, partner with BigBasket
    ↓
LEADING → "Team, high-quality fresh produce only!"
    ↓
CONTROLLING → Check if 10-min delivery target met
    ↓
RE-PLANNING → If not working, adjust strategy!
    ↓
(Cycle repeats!)

All 4 functions are INTERCONNECTED! Skip one = Chaos! 🌀

PODSCORB Framework (Classical & Detailed!)

Coined by: Luther Gulick (1937)

More detailed than POLC!

P - Planning

(Same as above!)

O - Organizing

(Same as above!)

D - Directing

= Leading (giving orders, guiding)

S - Staffing

What: Hiring, training, developing people

Example - TCS:

  • Recruitment: Hire 40,000 engineers annually!
  • Training: 3-month "Initial Learning Program" for freshers
  • Development: Leadership programs for managers
  • Retention: Competitive salaries, work-life balance

Why critical? People = Your biggest asset! 👥

CO - Coordinating

What: Harmonizing activities across departments

Example - Infosys Project:

  • Development team (India) writes code
  • Testing team (Poland) tests it
  • Sales team (USA) demos to client
  • Infosys manager coordinates all 3!

Without coordination → Left hand doesn't know what right is doing!

R - Reporting

What: Keeping stakeholders informed

Example - Quarterly Reports:

  • CEO reports to Board
  • Managers report to CEO
  • Teams report to managers

Transparency = Trust!

B - Budgeting

What: Financial planning and control

Example - Reliance Jio:

  • Budgeted: ₹1.5 lakh crores for network
  • Monitored: Monthly spending vs budget
  • Controlled: Ensured no overspend

Budgeting = Financial GPS! 💰
