2. Smart Data Entry Tools

Excel provides several features to speed up repetitive data entry tasks.

A. AutoFill (The Fill Handle)

This tool automatically continues a pattern (like 1, 2, 3... or Jan, Feb, Mar...).

  1. Type the first one or two values.
  2. Hover over the bottom-right corner of the cell (the small green square).
  3. When the cursor turns into a black cross (+), click and drag.

B. Flash Fill (The Magic Tool)

Flash Fill recognizes patterns in your data and fills the rest for you.

  • Example: If Column A has "John Smith" and you type "John" in Column B, press Ctrl + E to instantly extract the first names for all rows!

4. Special Situations in Data Entry

  • Dates: Enter dates using / or - (e.g., 01/05/2024). Excel converts this into a numeric value internally for calculation.
  • Leading Zeros: To keep a '0' at the start (like code '001'), type an apostrophe first: '001.
  • New Line in Cell: To start a new line within a single cell, press Alt + Enter.

Example: If a student types 'Monday' in cell A1 and drags the fill handle down to A7, Excel will automatically fill the sequence: Tuesday, Wednesday, Thursday, Friday, Saturday, and Sunday. This saves time and prevents spelling errors.
